Every unanswered chat message or slow email reply is a customer deciding whether to stay or go somewhere else. Most small and growing businesses know this, and still can’t justify a full in-house support team for the volume they currently get – so enquiries end up answered late, inconsistently, or not at all. We set up and run live chat and day-to-day customer support for businesses that need to respond quickly and professionally, without hiring and managing a support team themselves.
What this actually covers
This service has two parts, and you can use either on its own or both together: setting up the actual live chat and support infrastructure on your site (the widget, the routing, the help-desk), and the ongoing human side of it – real people handling real conversations with your customers, following guidelines built around your business, your tone, and your policies.
What’s included
- Live chat widget setup on your website, configured to match your site’s design rather than looking like a bolted-on third-party tool.
- Help-desk and ticketing setup so emails, chat messages and enquiries all land in one organised place instead of being scattered across a shared inbox, a chat app, and a contact form nobody checks consistently.
- Agents trained on your business – your products or services, your policies (refunds, shipping, scheduling), and your tone of voice, briefed from a knowledge base we build together with you before anything goes live.
- Agreed response-time targets, set at the start rather than left vague, so you know exactly what to expect and can hold the service to it.
- Escalation rules for anything outside what an agent should handle alone – a complex complaint, a refund above a certain value, anything genuinely requiring your direct judgement – routed to you promptly rather than guessed at.
- Weekly reporting on volume, response times, and common questions coming in, which often surfaces useful product or website issues worth fixing at the source.
- Coverage that scales with you – from a few hours a day covering peak enquiry times, up to full business-hours or extended coverage, depending on your actual volume.
Our process
We start by reviewing your current support load – roughly how many enquiries you get, through which channels, and what they’re usually about – because that shapes whether you need a few hours of daily coverage or something closer to full-time. From there we build a knowledge base covering your policies and common questions, agree response-time targets and escalation rules with you directly, and run a trial period before scaling up coverage, so any gaps in the initial brief get caught early rather than after weeks of live conversations.
Who this is for
This service fits businesses getting enough enquiries that a slow or missed reply is starting to cost real sales or damage customer trust, but not yet enough volume – or budget – to justify hiring, training and managing an in-house support team. It’s a particularly strong fit for e-commerce stores handling order and shipping questions, service businesses fielding booking enquiries, and any business whose current “support system” is really just one person checking an inbox between other tasks.
What this isn’t
This isn’t a chatbot pretending to be a person, and we won’t sell it to you as one. Where automated responses genuinely help – answering the same simple question for the tenth time that day – we’ll use them, built with the same n8n automation approach as our business automation service. But anything a customer actually needs handled is handled by a trained person following your guidelines, not a script pretending otherwise.
Common questions
Will customers know they’re not talking to my own staff? We work from your knowledge base, your tone, and your policies, and we’re happy to operate under your business name throughout – most customers experience it as simply “your support team” responding promptly. We won’t misrepresent qualifications the team doesn’t have, but day-to-day conversations are handled exactly as your own staff would handle them.
What happens with questions the team can’t answer? Anything outside the agreed knowledge base or escalation rules is flagged to you directly rather than guessed at – we’d rather ask than give a customer an answer we’re not confident in.
Can I start small and scale up? Yes – most clients start with a defined block of hours covering their busiest periods and expand coverage once they’ve seen how it performs against their actual enquiry volume.
Why work with us on this
Support that’s disconnected from how your website and systems actually work tends to create as much friction as it removes – an agent who can’t see order status, can’t check what a customer actually submitted on a form, or doesn’t understand your checkout flow ends up escalating everything anyway. Because we also build and maintain the website and automation behind the scenes, our support setup is grounded in how your business actually operates, not a generic script handed to an anonymous call-centre queue.
Enquiries slipping through the cracks, or taking too long to answer? Tell us about your current support setup and we’ll suggest what coverage actually makes sense for your volume.
